Privacy Policy
Effective October 10, 2026 · Version 2026-10-interim
Red Circle Solutions LLC, doing business as Poster Studio Express ("we", "us"), sells poster printers, supplies and related services, mostly to schools. This policy explains what personal information we collect through posterstudioexpress.com and our landing pages at lp.posterstudioexpress.com, and when you deal with us; what we use it for; who receives it; how long we keep it; and the choices you have. Our desktop design software has its own Software Privacy Policy.
1. Who we are and how to reach us
Red Circle Solutions LLC d/b/a Poster Studio Express · 110 Exmore Rd, Suite 2, Mooresville, NC 28117 · mail: PO Box 68, Davidson, NC 28036 · 866-788-7900 · privacy questions and requests: concerns@posterstudioexpress.com
2. What we collect, and when
| When you… | We collect |
|---|---|
| Buy from our store or create an account | Name, school or organization, email, phone, billing and shipping addresses, order details, and a record that you accepted our terms at checkout (the version and time). Card payments are processed by our payment providers. |
| Ask for a quote or contact us | Name, school or organization (often picked from the U.S. Department of Education's public school directory), role or title, state, email, phone, and your message. Forms on our main website send what you enter to HubSpot, the service we use to manage customer contacts; forms on our landing pages send it to our own systems. To help you find your school, our forms use the approximate location that comes with your IP address to list schools near you first or to fill in your state. On our contact page, the form-tracking tool our advertising agency runs also receives what you enter (except passwords and card details), the page address and how you arrived, and records your entries in Google Analytics. |
| Get support, training or design service | Your messages, call notes, and files you send us. |
| Sign up to download free graphic organizers | See §11. |
| Use our website | Automatically: your IP address and the approximate location that comes with it (such as city and ZIP code), browser and device details, cookie identifiers, the pages you visit, links and buttons you click, how far you scroll, and how you arrived (including ad-click identifiers). Our own analytics also records what you type into forms on our site, including forms you start but don't send, except password fields and the card details you type into our checkout's payment box, which belongs to our payment provider. It doesn't do this on our free graphic-organizer pages (§11). |
3. How we use it
- To answer your questions, prepare quotes, take and deliver orders, and provide support, training, warranty help and design service.
- To send you emails you asked for, and marketing emails about our products. You can unsubscribe from marketing emails at any time.
- The free graphic-organizer sign-up is used only as §11 describes: for your downloads, the emails you choose and counting how the library is used, never for sales calls, sales lists or other outreach.
- To measure and improve our website and our advertising, including showing our ads to people who visited our site. Our free graphic-organizer pages carry no advertising tags.
- To keep our site and systems secure and prevent fraud and abuse.
- To keep the records the law requires, and to protect our legal rights.
4. Who receives it
- Companies that work for us: website hosting and network companies (such as Kinsta and Cloudflare), the service we use to manage customer contacts (HubSpot), our advertising agency (SmartSites), and email, email-checking, payment, fraud-prevention, shipping and accounting providers. We also keep information in our own customer and lead systems.
- Advertising and analytics companies: see §5.
- Manufacturers and service partners, when needed for a warranty claim or service visit (usually your name, site address, contact details and the machine's serial number).
- Leasing providers, only if you ask us to arrange a lease.
- Others, only where needed: when the law requires it, to protect people's safety or our rights, or a buyer of our business, if that happens, under this policy.
We don't sell personal information for money, and we don't rent our lists. The advertising tools in §5 let those companies collect information about visits to our site, and we share some contact details with Google as §5 describes; some state laws call that "selling" or "sharing" even though no money changes hands.
5. Cookies, analytics and advertising
- Our site uses tools from other companies: Google (Analytics, Ads and Tag Manager), HubSpot (website tracking, chat and forms), our advertising agency's form-tracking tool on our contact page (SmartSites LeadTracker) and, at checkout, our payment provider's tools: Stripe (card payments, Apple Pay and Google Pay, with a security check) and Sift (fraud prevention). These companies may collect personally identifiable information about your online activities over time and across different websites when you use our site. Our free graphic-organizer pages use analytics only (§11).
- Our own analytics (first-party, on our own systems) records page visits, clicks, scrolls and form use as described in §2, with a visitor cookie.
- Google's tags on our site (Google Ads and Google Analytics) are set to pick up an email address typed into a form and send Google a scrambled (hashed) copy, which Google uses to measure our ads and our website. On our free graphic-organizer pages, the Google Ads tag doesn't run and this collection is switched off.
- Ad measurement from our landing pages: when you send a form on one of our landing pages, the page tells Google Ads that an enquiry was made and sends Google a scrambled (hashed) copy of your email address, phone number and name, with your state. If you came from one of our ads, our systems also report the enquiry against that ad click and, if it later becomes an order, a value for that order.
- Customer lists: we send Google scrambled (hashed) email addresses and, where we have them, phone numbers and names with ZIP codes (the ZIP code itself isn't scrambled), of customers, of people who have asked us about our products, and of their colleagues at the same schools, so that Google can match them to Google accounts for use in our advertising.
- Do Not Track: our site doesn't currently respond to browser "Do Not Track" signals.
- You can block or delete cookies in your browser. Our store and quote cart need some cookies to work (for example, a signed cookie that lets you reopen a quote you made, for 30 days).
6. Email and calls
- Every marketing email has an unsubscribe link, and we honour it within 10 business days. Messages about your order, quote, warranty or support continue.
- If you give us a phone number, we may call you about your request or order.
7. How long we keep it
- Library sign-ups: see §11.
- Marketing contacts: if you unsubscribe, we stop marketing emails and keep your email address on a do-not-email list so we don't email you again.
- Everything else: for as long as we need it for the purposes in this policy, and to keep the records the law requires (for example, invoices and tax records).
8. Children and students
Our website is for adults buying for schools and organizations, and for teachers. We don't knowingly collect personal information from children under 13. Our free graphic organizers are for educators, and students can't sign up for them (§11). If you believe a child has given us personal information, contact us and we'll delete it.
9. Your choices and requests
- Marketing email: use the unsubscribe link, or contact us. You don't need an account.
- See, correct or delete your information: email concerns@posterstudioexpress.com or call 866-788-7900. We'll check that the request comes from you (usually by a reply from the email address we have), and we'll act on it within 30 days. Some records must be kept by law (for example, invoices) or while a legal matter is open; if so, we'll tell you. For library sign-ups, see §11.
- Cookies: use your browser's settings.
10. How we protect it
We use encrypted connections and limit access to the staff who need it. No system is completely secure.
11. Free graphic organizers: downloads and sign-up
(This section is our download and sign-up notice, version lib-notice-v5.)
This notice explains what Poster Studio Express (Red Circle Solutions LLC, doing business as Poster Studio Express) collects when you sign up to download our free graphic organizers, and what we do with it. It is part of our Privacy Policy.
What the sign-up is for
We use your sign-up to give you the downloads, to send you the emails you choose, and to count how the library is used. We don't use it for sales calls, sales lists or any other outreach, and we don't tell your school or district that you signed up. Signing up doesn't put you on an email list: we send the two kinds of email you can tick below only if you tick them. Otherwise we email you only to reply to you, or where the law requires it.
Who the sign-up is for
The downloads are free for educators: teachers, school and district staff, and other adults who teach. You sign up before your first download. Students can't sign up. If you choose "Student" as your job title, we don't create a sign-up record or set a sign-up cookie. Our website's own cookies and tracking (below) still apply on these pages. If a student has signed up by mistake, an adult can contact us and we'll delete it.
What we collect
- What you enter (all required):
- your name
- your email address
- your job title, chosen from a list
- your school or district, picked from the U.S. Department of Education's public school directory (NCES), or, if yours isn't listed, the organization you type in
- Your choices on the sign-up boxes, the wording you saw, and when you made or changed them.
- Which organizers you download: the type, the format and the date.
- The directory's public details of the school or district you pick, such as its address and district.
- When you download, the service that delivers the file records a coded ID (not your name), the design, the format, the time and a shortened form of your IP address, so it can stop bulk copying.
- Automatically, as on every page of our site: your IP address and the approximate location that comes with it (such as city and ZIP code), cookie and device identifiers, and the pages you visit and buttons you click. Our server and our service providers' servers record these, and so do the tools described in "Cookies and tracking".
How we use it
- To give you the downloads, up to 50 a day.
- To keep the downloads for educators, using the job title and school you give us.
- Your email address: to answer requests you send us about your sign-up and, where the law requires, to contact you about it.
- If you ticked "Email me when new graphic organizers are added": to email you when we add new organizers.
- If you ticked "Email me about Poster Studio Express products and offers": to email you about our products and offers.
- To count how the library is used, for example how many sign-ups and downloads there are, and from how many schools.
- To recognize this browser, so you don't have to sign up again on it. A cookie does this for 12 months. It remembers the browser, not you: anyone using this browser can download under your sign-up, so on a shared computer choose "Not you?" when you're done. "Not you?" beside the download buttons removes the cookie from this browser. It doesn't delete your sign-up; see "Your choices" for that.
- To keep students out of the sign-up, and to keep the sign-up and downloads secure, for example to block automated sign-ups and bulk downloading.
Who receives it
- Our staff: your sign-up is kept in our own customer system, in a separate section that only staff we authorize, including our sales team, can view, and they may not use it for sales calls or any other outreach to you or your school. They can't export it, every view is logged, and it isn't added to our sales lists.
- Not your school: we don't tell your school or district that you signed up.
- Not advertisers: we don't send what you enter here to advertising networks, and we don't sell it.
- Companies and contractors that host and run our website and systems, such as Kinsta (website hosting) and Cloudflare (network, security checks and file delivery).
- The school search: the text you type into the school box goes to our directory service to find matches. Before you type, it uses the approximate location that comes with your IP address to show schools near you, and it uses the same location to put nearby schools first in the matches. Like any web request, it also carries your IP address and normal browser information.
- Others, only where needed: when the law requires it, to protect people's safety or our site's security, or a buyer of our business, if that happens, under this notice.
Cookies and tracking on these pages
- The graphic-organizer pages use analytics only: no advertising or remarketing tags, no chat widget and no session recording.
- Analytics: Google Analytics sets its own cookie and records which pages are visited and which buttons are used. It learns that a sign-up or a download happened, but not your name, email, job title or school. Our own analytics also records page visits and clicks, with its own cookie, but not what you type into the sign-up form.
- Do Not Track: our site doesn't currently respond to browser "Do Not Track" signals.
- The tools used on the rest of our site are described in our Privacy Policy.
How long we keep it
- Your sign-up (everything you entered, and your download history): deleted 24 months after your last download, except as the next points say.
- After we delete a sign-up, apart from the records below, we keep only totals, such as how many downloads were made from a school in a month, which aren't linked to you.
- Consent records: kept while your sign-up exists and, after it is deleted, until each record is 5 years old, to show what you agreed to and when.
- Unsubscribes: if you unsubscribe, we keep your email address on a do-not-email list for as long as we need it to avoid emailing you again.
- Download records at the file service: 13 months.
- Backups: a deleted sign-up can stay in our customer system's encrypted backups for up to 13 months, until those backups expire. If we ever restore from a backup, we re-apply every deletion before using it.
Your choices
- Stop emails: use the unsubscribe link in any email, or contact us.
- Delete your sign-up: email concerns@posterstudioexpress.com or call 866-788-7900, and we'll delete it within 30 days. To change your details, ask us to delete your sign-up, then sign up again.
- Forget this browser: "Not you?" beside the download buttons. You can also delete our cookies in your browser's settings.
How we protect it
We restrict access to sign-up information and use encrypted connections to receive it and send it to our customer system. No system is completely secure.

We'll post updates here with a new effective date. For material changes, we'll also post a prominent notice on the sign-up form and beside the download buttons. We'll ask for your consent before changing how we use information we already have, where the law or our earlier commitments require it.
