This Privacy Policy describes how Red Circle Solutions LLC D.B.A. Poster Studio Express (“Red Circle Solutions,” “we,” “us,” or “our”) collects, uses, and shares information related to your use of the Poster Studio Express desktop application and associated services (the “Application”).

2. INFORMATION WE COLLECT

We collect information directly from you, automatically through the Application, and via third-party authentication providers. We collect this information to operate and improve the Application.

2.1 Account and Registration Information

We collect the following personal information to identify you and manage your account:

• Email address (required)
• First and last name (required)
• Display name (from authentication providers, if available)
• Profile picture (from Google and Microsoft sign-in only)
• Phone number (required, stored in international format)
• Phone extension (optional)
• Professional role (e.g., Teacher, Librarian, Administrator)
• Organization or institution name
• Organization location (state or region, as applicable)

2.2 Authentication Information

We collect information necessary to secure your account and facilitate third-party connections:

• Sign-in method (email, Google, Microsoft, or Apple)
• Unique identifiers from authentication providers
• Encrypted authentication credentials
• Last sign-in date and time
• Account status information
• Canva account identifier (when Canva integration is enabled)

2.3 Usage and Printing Information

We automatically collect operational data necessary to provide the printing service:

Printer Information:

• Printer name and model
• Printer series
• Printer network address (local network only)
• Printer discovery method
• First connection and most recent connection dates

Print Job Information:

• Print dimensions (width and height)
• Paper or media type selected
• Print orientation
• Date and time of print
• File size

Printer Status Information:

• Ink levels by color (percentage remaining)
• Ink cartridge part numbers
• Paper source status
• Paper width

Note: Printer status information is only recorded when meaningful changes occur to minimize unnecessary data storage.

2.4 Temporary Image Storage

A temporary copy of each printed image is stored for thirty (30) days in secure cloud storage. This temporary storage is used solely for:

• Troubleshooting print issues
• Enabling future reprint functionality
• Service improvement

After thirty (30) days, these images are automatically and permanently deleted.

2.5 Canva Integration

When you connect your Canva account, we access:

• Your Canva design list (titles, thumbnails, dates)
• Design export functionality to download designs for printing

Important: We do not store your Canva designs on our servers. Designs are retrieved from Canva in real-time, downloaded directly to your computer, and saved in your local application storage. Your Canva designs remain subject to Canva’s terms of service.

2.6 Local Application Data

The Application stores certain information locally on your device:

• Imported designs and thumbnails
• Design categories you create
• Application preferences
• Pending upload queue

This local data remains on your device unless you initiate a print job.

2.7 Information We Do Not Collect

• Payment or billing information (handled separately by payment processors)
• Device hardware specifications or unique device identifiers
• Operating system version or computer name
• Network hardware addresses
• Geographic location data
• Browsing history
• Cookies or tracking technologies

3. HOW WE USE YOUR INFORMATION

We use the collected information for the following purposes:

• Authenticate and identify users
• Execute print jobs to your printers
• Display real-time printer status
• Access your Canva designs when integration is enabled
• Manage account connections and settings

3.2 Service Improvement

3.3 Security

• Manage secure authentication

4. INFORMATION SHARING AND DISCLOSURE

We share your information only with the service providers necessary to operate the Application:

• Database Hosting Provider: Stores user accounts, print job records, and printer information with encryption at rest
• Cloud Storage Provider: Securely stores temporary print job images for thirty (30) days
• Infrastructure Provider: Processes application requests without persistent data storage
• Authentication Providers (Google, Microsoft, Apple): Processes user sign-in when you choose these methods
• Canva: Processes design access requests when you connect your Canva account
• Email Service Provider: Delivers authentication emails

4.1 No Sale of Information

We do not sell, rent, or trade your personal information to third parties, advertising networks, data brokers, or marketing partners.

4.2 Legal Disclosure

We may disclose your information if required by law or in response to valid legal requests by public authorities (e.g., court order, subpoena).

4.3 Business Transfers

In the event of a merger, acquisition, or sale of assets, your personal information may be transferred. We will provide notice before your information becomes subject to a different privacy policy.

5. DATA SECURITY

5.1 Security Measures

We implement industry-standard security measures to protect your information:

7. DATA RETENTION AND DELETION

• Print Job Images: Thirty (30) days, then automatically deleted
• User Account Information: Retained until you request account deletion
• Print Job Records: Retained until you request account deletion
• Printer Information: Retained until you request account deletion
• Authentication Credentials: Retained until expired, revoked, or account deleted
• Authentication Links: Fifteen (15) minutes, then automatically expired

7.1 Account Deletion

You may request complete deletion of your account and associated information by contacting us at sales@posterstudioexpress.com. Upon verified request, we will:

• Delete your user account
• Delete all associated print job records
• Delete all printer registration information
• Remove any remaining print job images from cloud storage

Note: Information already in backups may persist until backup rotation occurs.

8. YOUR PRIVACY RIGHTS

8.1 All Users

You have the right to:

• Access: Request a copy of your personal information
• Correction: Request correction of inaccurate information
• Deletion: Request deletion of your account and information
• Portability: Request your information in a portable format
• Withdraw Consent: Disconnect third-party integrations at any time

8.2 California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act:

• Right to Delete: Request deletion of your personal information

8.3 European Users (GDPR)

9. CHILDREN’S PRIVACY

The Application is primarily marketed to educational institutions but may be used by any individual or organization for lawful purposes.

Age Requirements:

• Users must be at least thirteen (13) years of age to use the Application
• Users between thirteen (13) and eighteen (18) years of age must have parental or guardian consent

Children Under Thirteen (13):

The Application is not intended for children under thirteen (13) years of age. We do not knowingly collect personal information from children under thirteen (13). If we become aware that we have collected personal information from a child under thirteen (13) without verified parental consent, we will promptly delete that information.

10. COOKIES AND TRACKING TECHNOLOGIES

The Poster Studio Express desktop application does not use:

• Browser cookies
• Web beacons or tracking pixels
• Third-party analytics services
• Advertising trackers

The Application operates as a standalone desktop application without web-based tracking mechanisms.
